Specific Responsibilities:

Receptionist Responsibilities :

  • Provide phone coverage for the office and direct calls to the appropriate parties in an efficient and professional manner.
  • Greet guests in a gracious and welcoming manner. Ensure they are promptly announced to the appropriate party and escorted to the designated conference room.
  • Coordinate and ensure neat appearance of reception area and conference rooms.
  • Manage meeting room calendars and assist with meeting set up.
  • Provide general support for guests and reserve guest offices.
  • Receive and send packages along with sorting and distributing mail.
  • Publications management for the office. Maintain the Couranto database and track publications.
  • Maintain Menlo office directories, private dining resource lists and seminar schedule.
  • Assist with operations requests and other tasks as needed.

Assistant Responsibilities:

  • Provide administrative support to members of the Investment Team.
  • Complete various document management by copying, e-mailing, filing, shipping as required; draft and edit correspondence, sort incoming mail; and maintain all paper and electronic files.
  • Plan and scheduling meetings.
  • Maintain contacts, enter team's time-off in the Human Resources system; and coordinate equipment, technology support, meals and other logistics as needed.
  • Complete expense reports on a monthly basis; collect and organize receipts and monitor all travel costs and expenses.
  • Make travel arrangements (domestic & international), including flight reservations both private and commercial, hotel accommodations, car service, etc.

  • Ability to work both independently and as part of a team
  • As the first face/voice a person encounters at TA, the Receptionist must maintain a professional attitude, appearance and demeanor at all times.
  • Demonstrated high degree of initiative, commitment and drive
  • Identify and assess problems/issues and use sound judgment to develop solutions
  • Strong Microsoft Office skills
  • College degree a plus
