Job Description

Senior Administrative Assistant

Location: Beaverton, OR

Contract Duration: August 2025 – January 2026

OVERVIEW

This role supports senior leadership within a global operations team, providing high-level administrative assistance in a fast-paced, dynamic environment. The ideal candidate is a proactive problem-solver with exceptional organizational, communication, and time management skills. They will play a key role in driving efficiency and building team culture through coordination, scheduling, and project support.

KEY RESPONSIBILITIES

  • Calendar Management: Coordinate complex schedules, arrange meetings and appointments, and resolve calendar conflicts.
  • Travel Planning: Organize domestic and international travel, including flights, lodging, transportation, and itineraries.
  • Meeting & Event Coordination: Plan and manage logistics for meetings, events, and offsites, including space reservation, catering, agenda development, and follow-up.
  • Expense & Budget Support: Prepare expense reports, track budgets, manage invoices and purchase orders as needed.
  • Document Preparation: Draft, format, and edit a variety of documents including presentations, org charts, emails, and meeting materials.
  • Project Support: Assist with planning and tracking of team projects to ensure timelines and deliverables are met.
  • Culture & Team Engagement: Help build a connected team environment by organizing team-building initiatives and enhancing the daily workplace experience.

QUALIFICATIONS

  • High school diploma or equivalent required.
  • At least 3 years of experience in an administrative support role.
  • Strong interpersonal and communication skills, with the ability to work effectively with diverse stakeholders including senior leaders.
  • Demonstrated success managing multiple priorities with high attention to detail in fast-paced, ambiguous settings.
  • Experience handling confidential information with discretion.
  • Proficient in Microsoft Office Suite (Outlook, PowerPoint, Word, Excel), Zoom, and Microsoft Teams; familiarity with Keynote and AI tools such as ChatGPT or Microsoft Copilot is a plus.
  • Experience with budget tracking and expense processing is highly desirable.
  • Flexibility to occasionally work outside of standard business hours.
